We are the condominiums of historic Colonial Village in Arlington, Virginia. Situated on more than 50 rolling acres, our colonial revival-style red brick buildings are linked by a series of picturesque courtyards and gardens. 

January 28, 2019 Colonial Village III Condominium Board of Directors Meeting Minutes

Call to Order: The meeting was called to order by Mike Amato at 5:28 pm.

RESIDENT’S FORUM  

Dogs – Off-leash dogs in courtyard discussed (which is not allowed per Bylaws) as well as dog poop bags being left near entryways.

Reading and Approval of Minutes: Mr. Nicoll Moved to approve the November, 2018 meeting minutes.  The Motion was seconded by Mr. Midler and carried unanimously.

REPORTS OF COMMITTEES/OFFICERS

No reports. 

MANAGEMENT REPORT

Financial – Year end financials will be available in February after final adjustments and invoices for all work to be attributed to 2018 have been received and recorded.

Sediment Control for Sidewalks – Next steps for the area between 1801 & 1737 Queens once trees are removed.

 OLD BUSINESS: None.

NEW BUSINESS

Erosion Priorities – Seek additional bids to address the top priority erosion issues as discussed by the Board (Wilson Blvd gate area, ravine, steps from Rhodes Street to bike path, front of 1735 Rhodes).

Retaining Walls – Investigate need and seek tuck-pointing estimates to repair walls around/leading to laundry rooms.

Ramps – Investigate methods, if any, of improving traction.

ADJOURNMENT OF REGULAR SESSION TO EXECUTIVE SESSION: With no further business to discuss, Mr. Amato Moved to adjourn and enter Executive Session at 6:45pm.  The Motion was seconded by Mr. Midler and carried unanimously. The Board discussed delinquencies, resident communications and staff/vendor holiday bonuses.

Call to Order: The meeting was called to order by Mike Amato at 5:30pm.

RESIDENT’S FORUM  

Reading and Approval of Minutes: Mr. Nicoll Moved to approve the January, 2019 meeting minutes.  The Motion was seconded by Mr. Wiles and carried unanimously.

REPORTS OF COMMITTEES/OFFICERS

MANAGEMENT REPORT

Financial – Year end financials; final adjustments forwarded to accounting and will be emailed immediately when available.

LEDs at Entryways – Board approved replacements with lowest wattage, soft white (warmer 2700-Kelvin) bulbs.

OLD BUSINESS

Erosion/Drainage Issues – Forward landscape committee priorities, developed two years ago, to contractors who will be providing bids for several of the highest priority locations.  Continue to seek additional bids (priorities: the area between/around 1801 and 1737 Queens Lane; Wilson Blvd gate area, ravine, steps from Rhodes Street to bike path, front of 1735 Rhodes,).

Parking Meter – Board approved purchase of used Duncan meter parts off eBay (new coin meters no longer available)

March 25, 2019 Colonial Village III Condominium Board of Directors Meeting Minutes

Call to Order: The meeting was called to order by Mike Amato at 5:36pm.

RESIDENT’S FORUM:

Loud volume of voice prompts at renovated car wash on Wilson Blvd. raised by resident. 

Reading and Approval of Minutes: Mr. Amato Moved to approve the February 2019 meeting minutes.  The Motion was seconded by Ms. Collier and carried unanimously.

REPORTS OF COMMITTEES/OFFICERS

MANAGEMENT REPORT

Financial – January and February financials were forwarded to Treasurer.  Year to date operating budget is 21% under budget;  and the association had a net operating profit of $9,306.

1801 Building Repairs – Flooring replacement for owner’s unit could not proceed due to continued moisture underneath existing wood floor.  Water test recommended.

Drainage Issues – Met with several vendors to address the areas identified as highest priority.

LED Entryway Lights – Maintenance has begun final phase of update community fixtures to LED.

Washer/Dryer Study – Locate prior study by CV-2 and forward to board if available.

 OLD BUSINESS

Master Insurance Policy – Confirm with broker that earthquake coverage was in fact included as it was not specifically listed. 

Parking Meter – New meter received and installed in the one short term parking spot.

NEW BUSINESS: None

April 22, 2019 Colonial Village III Condominium Board of Directors Meeting Minutes

Call to Order: The meeting was called to order by Eric Nicoll at 5:45pm.

RESIDENT’S FORUM  

Reading and Approval of Minutes: Mr. Nicoll Moved to approve the March 2019 meeting minutes.  The Motion was seconded by Mr. Wiles and carried unanimously.

REPORTS OF COMMITTEES/OFFICERS

MANAGEMENT REPORT

Financial – March year to date figures were shared; the association had Net Operating Loss year to date of ($5,206).  The association currently has $1,180,389 in Reserves as of the end of March.

OLD BUSINESS

Erosion/Drainage Issues – Multiple proposals from five companies discussed and management forwarded several contracts to the landscape company for implementation based on the board’s highest priority locations (1735 Rhodes, stabilizing concrete stairs leading to the bike path from Rhodes Street, drainage along bike path behind 1817-1821 Rhodes Street).  Tree replacements were also submitted to landscape company at 1733 Queens and near the courtyard’s back gate.
